Payroll Software: How to Retrieve the Lost Paychecks

Question: I started my ezPaycheck payroll software this morning and I could not find any paychecks there. What should I do? 

Answers: Several reasons can cause this problem. Please check the instructions below.

Step 1: If you can see your company data and employee data, change the date value of the "list check after field" to show more checks (*** the most common reason ***)

Step 2: If you also lost company setup, click ezPaycheck top menu "Company" then "Select Company" to view company list and switch the current company

You can always find the current database file name and path from ezPaycheck top menu bar.

Step 3: If you have backed up your database file before, you can use the restore function to copy the data back.

You can learn more about database backup and restore here. You need to switch the current company after you resore it. (You can click the top menu "Company->Select Company" to select this database from list and set it the current database file. ) 

Note: This backup file is designed to be read by ezPaycheck payroll software. You cannot open it manually.

Step 4: If you still cannot find your data, search "*.mdb" file on your machine.

The database file is .mdb (Microsoft Access Database) file. If you can find it on your machine, you can use the restore function to copy it back.

    The CA ETT (Employment Training Tax) is an employer-paid tax. Employers subject to ETT pay one-tenth of 0.1 percent (.001) on the first $7,000 in wages paid to each employee in a calendar year. The tax rate is set by statute at 0.1 percent (.001) of UI taxable wages for the employers with positive UI reserve account balances and employers subject to Section 977(c) of the CUIC. The maximum tax is $7 per employee, per year ($7,000 x .001).

     

    Since it is employer side tax, ezPaycheck payroll software will not withhold it from employee paychecks. And employees will not see the ETT on their paystubs.

    Paychecks changed for partial Indiana workers from Oct. 1, 2013

     

    State of Indiana published the changes of county tax for resident and non-resident on Oct 1, 2013.  The employee deduction is $1,000 and each qualified dependent deduction is $1,500 which are unchanged. Allen County resident tax rate changes to 0.0135; Hancock County resident tax rate chagnes to 0.0165; Jasper County tax rate changes to 0.02964; Madison County tax rate changes to 0.0175; Washington County tax rate changes to 0.02. All the other county tax rate keeps unchanged.

    Employment Tax Deposit Due Dates

    In general, you must deposit federal income tax withheld and both the employer and employee social security and Medicare taxes.

    There are two deposit schedules, monthly and semi-weekly. Before the beginning of each calendar year, you must determine which of the two deposit schedules you are required to use. The deposit schedule you must use is based on the total tax liability you reported on Form 941 during a lookback period. See special rules for Forms 944 and 945. Schedules for depositing and reporting taxes are not the same.

    You must use electronic funds transfer (EFTPS) to make all federal tax deposits.

    Monthly Depositor

    Under the monthly deposit schedule, deposit employment taxes on payments made during a month by the 15th day of the following month. Employers who deposit monthly should only report their deposits quarterly or annually by filing Form 941 or Form 944.

    Semi-weekly Depositor

    Under the semiweekly deposit schedule, deposit employment taxes for payments made on Wednesday, Thursday, and/or Friday by the following Wednesday. Deposit taxes for payments made on Saturday, Sunday, Monday, and/or Tuesday by the following Friday. Report your deposits quarterly or annually only by filing Form 941 or Form 944.

    FUTA Deposits

    Deposit FUTA tax by the last day of the first month that follows the end of the quarter. If the due date for making your deposit falls on a Saturday, Sunday, or legal holiday, you may make your deposit on the next business day.

    If your liability for the fourth quarter (plus any undeposited amount from any earlier quarter) is over $500, deposit the entire amount by the due date of Form 940 (January 31). If it is $500 or less, you can make a deposit, pay the tax with a credit or debit card, or pay the tax with your 2011 Form 940 by January 31.

    When must an employer withhold Additional Medicare Tax?
    The statute requires an employer to withhold Additional Medicare Tax on wages it pays to an employee in excess of $200,000 in a calendar year, beginning January 1, 2013. An employer has this withholding obligation even though an employee may not be liable for Additional Medicare Tax because, for example, the employee’s wages together with that of his or her spouse do not exceed the $250,000 threshold for joint return filers. Any withheld Additional Medicare Tax will be credited against the total tax liability shown on the individual’s income tax return (Form 1040).

     

    When does Additional Medicare Tax start?
    Additional Medicare Tax applies to wages and compensation above a threshold amount received after December 31, 2012 and to self-employment income above a threshold amount received in taxable years beginning after December 31, 2012.

    The rate is 0.9 percent

     

    When are individuals liable for Additional Medicare Tax?

    New 2013 Form 941 Is Available Now

    IRS published the new 2013 Form 941 on March 12. We released the new edition of 2013 ezPaycheck payroll tax software last night with the updates on 2013 Form 941 (Employer’s QUARTERLY Federal Tax Return). The main changes on new Form 941 include:

    - Social Security Tax: The employee tax rate for social security is 6.2%. Previously, the employee tax rate for social security was 4.2%. The employer tax rate for social security remains unchanged at 6.2%. The social security wage base limit is $113,700

    - Additional Medicare Tax Withholding: In addition to withholding Medicare tax at 1.45%, employer must withhold a 0.9% Additional Medicare Tax from wages employer pays to an employee in excess of $200,000 in a calendar year.

    2013 Form 941 Is Not Available yet

    Many ezPaycheck payroll software customers contact us recently about Year 2013 Form 941. However IRS has not published the new Form 941 yet. We will inform all ezPaycheck users by email when the new version is released.  You can also check the update information within ezPaycheck by clicking ezPaycheck top menu "help".

    Your Form 941 is due by the last day of the month that follows the end of the quarter. 

    1. First Quarter:  January, February, March 

    Quarter Ends: March 31

    Form 941 is due: April 30

    How to Calculate 2013 Federal Income Tax Manually

    Karen is the employee of company ABC. She lives in Arizona. Her withholding rate is single/withhold at a single rate.  She has two allowances and no extra withholds.  She gets paid $10 per hour biweekly.  She works 64 hours for each biweekly pay period.


    Followings are the steps to calculate the federal tax:
     

    1. Gross pay for each paycheck: 
     
    For each pay period, the gross pay is $640
     
    2. Deduction for each paycheck:
    The standard deduction is $3,900 per year (For Year 2013).
    She can get total $3900*2=$7800
    For each pay period the deduction is: $7800/26=$300

     
    3. Taxable income for each paycheck
    So for each paycheck, the taxable income is: 640-300=$340.00
     
    4. Federal tax
