Why is there no federal withholding taken out of my paycheck?

by admin 5. June 2013 04:41

Question: I have an employee. She is single with 3 allowances for federal tax withholding. She is paid at $21.79/hour and 21 hours per pay period. We paid her twice a month. I used your ezPaycheck payroll software to generate the paycheck.  However, I find $0 federal tax withhold on her paycheck. Is it correct? Why?

Answer: Your employee can claim allowances on the W-4. Each allowance will lower her taxable income.  The more allowances she claims the less federal income tax she pays; the less she claims, the more federal tax she pays.

The standard deduction is $3,900 per year (For Year 2013).

For your employee, her taxable income is not high enough to withhold federal tax. Here are the step by step calculations.

1. Gross pay for each paycheck:

$21.79*21 hours= $457.59

For each pay period, the gross pay is $457.59

2. Deductions for each paycheck:

The standard deduction is $3,900 per year (For Year 2013).

She can get total deductions

$3,900   X             3 =          $11,700

For each pay period the deduction is:

$11,700                 /              24           = $487.50

3. Taxable income for each paycheck

So for each paycheck, the taxable income is:

457.59   -              $487.50                 =             - $29.91

So for this employee, her taxable income is $0. So you will see $0 federal tax on this paycheck.

How to Calculate 2013 Federal Income Tax Manually

by admin 17. January 2013 16:17

EzPaycheck small business software saves employers' time by simplifying payroll tax calculation, paycheck printing and tax reporting. However if you like to calculate the taxes manually, you can find the step by step guide below

For example:

Karen is the employee of company ABC. She lives in Arizona. Her withholding rate is single/withhold at a single rate.  She has two allowances and no extra withholds.  She gets paid $10 per hour biweekly.  She works 64 hours for each biweekly pay period.

Followings are the steps to calculate the federal tax:

1. Gross pay for each paycheck:

For each pay period, the gross pay is $640

2. Deduction for each paycheck:
The standard deduction is $3,900 per year (For Year 2013).
She can get total $3900*2=$7800
For each pay period the deduction is: $7800/26=$300

3. Taxable income for each paycheck
So for each paycheck, the taxable income is: 640-300=$340.00

4. Federal tax
(340.00-85.00) * 10%=255*10%=$25.5

    2.       I downloaded version 3.3.3 to generate the first check. Then I updated  ezPaycheck to the latest version to generate the second check. Why the net pay and taxes on the second check are different from the first check

IRS published new tax rate on Jan 3 2013 which overwrite the tax rate published on Dec 31, 2012.

Version 3.3.6 use the tax rate published on Jan 3, 2013

Version 3.3.5 and earlier use tax rate published on Dec 31, 2012

EzPaycheck 2012 comes with 2012 tax tables. If you need to handle payroll in Year 2013, you should use Year 2013 income tax rate. You can find Year 2013 tax rate change there

You can print W-2 forms later. EzPaycheck 2013 can print Year 2012 W-2 Forms.

    7.       After I installed ezPaycheck 2013, I still see 2011 940 Form. Is it correct?

IRS has not published Year 2012 940 form yet. We will release a new version once this form is available. Current ezPaycheck 2013 users can get this update package for free.

Payroll 101: What is Fringe Benefits

    by admin 19. November 2012 10:28

A fringe benefit is a form of pay (including property, services, cash or cash equivalent) in addition to stated pay for the performance of services. Some forms of additional compensation are specifically designated as “fringe benefits” in the Internal Revenue Code.

Fringe benefits commonly include health insurance, group term life coverage, education reimbursement, childcare and assistance reimbursement and cafeteria plans. Fringe benefits for employees are taxable wages unless specifically excluded by a section of the Internal Revenue Code (IRC).

The IRC may provide that fringe benefits are nontaxable, partially taxable, or tax-deferred.

Taxable – Includible in gross income unless excluded under an IRC section. “Taxable” means the benefit is included in the employees' wages and reported on Form W-2, Wage and Tax Statement, and generally is subject to Federal income tax withholding, social security (unless the employee has already reached the current year social security wage base limit), and Medicare. If the recipient is an employee, this amount is includible as wages. For example, bonuses are always taxable because no IRC section excludes them from taxation

    .

Nontaxable (excludable) – Excluded from wages by a specific IRC section; for example, qualified health plan benefits excludable under section 105.

Partially taxable - Part is excluded by IRC section and part is taxable. Benefits may be excludable up to dollar limits, such as the public transportation subsidy under IRC §132.

Tax-deferred – Benefit is not taxable when received, but subject to tax later. For example, employer contributions to an employee's pension plan may not be taxable when made, but may be taxed when distributed to the employee.

    (Source: http://www.irs.gov/pub/irs-tege/fringe_benefit_fslg.pdf)

ezPaycheck small business payroll software can handle fringe benefits. It comes with default settings for health Insurance and 401K. Users can also add customized deduction fields to handle taxable or non-taxable fringe benefits easily. Learn more at

What Is New Of Year 2011 Form 940

    by admin 3. January 2012 15:33

Form 940 (Year 2011) - Employer’s Annual Federal Unemployment (FUTA) Tax Return

    What’s New

FUTA tax rate. The FUTA tax rate was 6.2% from January 1, 2011, through June 30, 2011 (quarters 1 and 2), and decreased to 6.0% July 1, 2011, through December 31, 2011 (quarters 3 and 4).

Electronic deposit requirement. You must deposit all depository taxes (such as employment tax, excise tax, and corporate income tax) electronically using the Electronic Federal Tax Payment System (EFTPS).For more information about EFTPS or to enroll in EFTPS, visit the EFTPS website at www.eftps.gov, or call 1-800-555-4477. You can also get Pub. 966, The Secure Way to Pay Your Federal Taxes.

Credit reduction state. A state that has not repaid money it borrowed from the federal government to pay unemployment benefits is a “credit reduction state.” The Department of Labor determines these states. If an employer pays wages that are subject to the unemployment tax laws of a credit reduction state, that employer must pay additional federal unemployment tax when filing its Form 940.

Change of address. Beginning in 2012, employers must use new Form 8822-B, Change of Address—Business, for any address change.

How to enter YTD payroll data?

    by admin 20. December 2011 08:18

YTD means Year-to-date. It is a period from the beginning of the current year, and continues up to the present day. The YTD information on the check stubs will update automatically each time you add a new paycheck.

This YTD entry feature is for users who start ezPaycheck in mid-year. (If you start ezPaycheck from Jan 1, you do not need to enter YTD manually.)

For example, company ABC handles paychecks for employee Ryan Smith manually from 1/1/2011 to 6/30/2011. They plan to use ezPaycheck from 7/1/2011-7/15/2011 pay period. So instead of entering the old checks one by one, they can enter the YTD summary data here.

You should add the YTD data first before you generate a new paycheck. So you can see the correct YTD data on paycheck stubs.

    Here are the steps.

If you have not installed ezPaycheck payroll software, you can download it from

    http://www.halfpricesoft.com/payroll_software_download.asp

Step 1: Set up company information

Step 2: Add a new employee Ryan Smith

Step 3: Select Ryan from Employee list and open YTD manually input screen.  Then enter the summary information for 1/1/2011 to 6/30/2011.

Step 4: When you generate a new check, you will see the YTD data is updated.

IRS Increases 401(k) Limits For Year 2012

    by admin 24. October 2011 11:17

IRS Increases 401(k) Limits to $17,000 in 2012, up from $16,500 this year. The increase is required by law to adjust for inflation. The ceiling hadn't grown since 2009 because inflation had been too low to trigger an increase.

    Highlights include:

    • The elective deferral (contribution) limit for employees who participate in 401(k), 403(b), most 457 plans, and the federal government’s Thrift Savings Plan is increased from $16,500 to $17,000.
    • The catch-up contribution limit for those aged 50 and over remains unchanged at $5,500.
    • The deduction for taxpayers making contributions to a traditional IRA is phased out for singles and heads of household who are covered by a workplace retirement plan and have modified adjusted gross incomes (AGI) between $58,000 and $68,000, up from $56,000 and $66,000 in 2011.  For married couples filing jointly, in which the spouse who makes the IRA contribution is covered by a workplace retirement plan, the income phase-out range is $92,000 to $112,000, up from $90,000 to $110,000.  For an IRA contributor who is not covered by a workplace retirement plan and is married to someone who is covered, the deduction is phased out if the couple’s income is between $173,000 and $183,000, up from $169,000 and $179,000.
    • The AGI phase-out range for taxpayers making contributions to a Roth IRA is $173,000 to $183,000 for married couples filing jointly, up from $169,000 to $179,000 in 2011.  For singles and heads of household, the income phase-out range is $110,000 to $125,000, up from $107,000 to $122,000.  For a married individual filing a separate return who is covered by a retirement plan at work, the phase-out range remains $0 to $10,000.
    • The AGI limit for the saver’s credit (also known as the retirement savings contributions credit) for low-and moderate-income workers is $57,500 for married couples filing jointly, up from $56,500 in 2011; $43,125 for heads of household, up from $42,375; and $28,750 for married individuals filing separately and for singles, up from $28,250.

How to Calculate 2011 Federal Income Tax Manually?

    by admin 29. August 2011 03:31

Some small business owners are still calculating the taxes manually. Following is the step by step guide on how to use federal tax table and do it manually.

    For example:

Karen is the employee of company ABC. She lives in Arizona. Her withholding rate is married/withhold at a single rate.  She has two exemptions and no extra withholds.  She gets paid $10 per hour biweekly.  She works 64 hours for each pay period.

Followings are the steps to calculate the federal tax:

    1. Gross pay for each paycheck:

For each pay period, the gross pay is $640

    2. Deduction for each paycheck:
The standard deduction is $3700 per year (For Year 2011).
    She can get total $3700*2=$7400
For each pay period the deduction is: $7400/26=$284.62

    3. Taxable income for each paycheck
So for each paycheck, the taxable income is: 640-284.62=$355.38

    4. Federal tax
    (355.38-81.00) * 10%=274.38*10%=$27.44

New Features in ezPaycheck Payroll Software Simplify Piece-rate and Hourly Pay

    by admin 8. June 2011 08:51

Halfpricesoft.com recently released a new version of ezPaycheck payroll software with new features that make paying by the piece simpler and faster.

“Meeting the specific needs of our customers is an important part of our business model,” said Halfpricesoft.com founder Dr. Ge. “We had several customers who told us they pay some workers by the piece-rate, but ezPaycheck didn’t facilitate that easily, so we added some features that simplify that process.”

Released in May, version 3.1.7 of ezPaycheck payroll software includes an expanded MEMO field, which can be combined with the custom payment field to easily notate pay-by-piece or pay-by-stops payroll calculations. Users simply rename a custom payment field to something like, “pay-by-piece” or “pay-by-stops” and enter the value of the paycheck. Details of the payment, such as “100 pieces * $5 per piece,” can be entered into the MEMO field.

Why Small Business Needs Payroll Software

    by admin 3. June 2011 03:07

Business owners are constantly searching for new and innovative ways to decrease their costs and increase their efficiency. If you own a small business, there are many great strategies you can implement into your plans to decrease your costs and increase your productivity, but one valuable solution in particular is certainly small business payroll software. The following article will review how this software can improve your operations today.

    Cost
The cost savings alone can be a very attractive benefit of using payroll software. By managing your accounts on your own rather than hiring a professional to do it for you, you can save your company thousands of dollars every single month. You can then invest the money you save into more important aspects of your company that will ultimately result in further growth and productivity in the future.

Since you will be completing the employee payment tasks on your own if you choose to use software, you will also be in a position to guarantee the accuracy of the information you record. This additional benefit can help you keep track of your operations and help you make the right decisions going into the future.

    Security
Security is another important benefit of using a secure computer program. Payroll information is generally of a very sensitive nature, but it is very important for companies to keep clear, accurate, and secure employee records. By utilizing an in-house program, you can avoid exposing this important information to hackers on the Internet and you can also protect the computer that houses the information to secure it even further.

Many small business owners love to use specially designed computer programs to manage their employees and payments, because this type of software can help them keep their records organized and accurate. Owners who keep important employee and company records on paper files often have trouble finding the documents they need when they need them. Also, owners who keep important information about their operations in a single location are at risk of losing the valuable information due to fires and other hazards.

    Convenience
Along with helping you keep your records organized, this type of program can also simplify all of your operations that are related to your payroll. Once you are using one of these programs, you will be able to manage employee payments in only a few short and easy steps.

You can also handle all of your tax documents using a program that offers tax filing solutions. With these programs, you can automatically calculate your taxes, create reminders to file, and you can even file your taxes online. Once you start using one of these programs, you will likely find your finances to be greatly simplified overall.

Basically, if you are looking for a great way to manage your payroll without spending a large amount of money, you should review the various small business payroll software products you can buy today. Once you have integrated payroll software into your operations, you will be able to better track your employees and your finances, but you will also be able to handle your entire operation with greater ease as well.
