Many ezPaycheck payroll software customers contact us recently about Year 2013 Form 941. However IRS has not published the new Form 941 yet. We will inform all ezPaycheck users by email when the new version is released.  You can also check the update information within ezPaycheck by clicking ezPaycheck top menu "help".

Your Form 941 is due by the last day of the month that follows the end of the quarter. 

1. First Quarter:  January, February, March 

Quarter Ends: March 31

Form 941 is due: April 30

Here is an example:

Employee XYZ works for two shifts during the same pay period. The pay rate for the first shift is $10. The pay rate for the second shift is $12.

 

1.       Start  ezPaycheck, click the left menu “Company Settings”, then click “Wage Setup” sub menu to open Company Wage Setup Screen.

-          Check one Regular wage item, then the “Change Name” button to rename it. You can rename it to “2ND shift” or other name.

-          Save your change.

 

2.       Add/ Edit Employee Setup  screen

 

3.       Enter the hourly Rates for different shifts

 

4.       Add a new check and enter the hours there.

How to Calculate 2013 Federal Income Tax Manually

For example:

 

Karen is the employee of company ABC. She lives in Arizona. Her withholding rate is single/withhold at a single rate.  She has two allowances and no extra withholds.  She gets paid $10 per hour biweekly.  She works 64 hours for each biweekly pay period.


Followings are the steps to calculate the federal tax:
 

1. Gross pay for each paycheck: 
 
For each pay period, the gross pay is $640
 
2. Deduction for each paycheck:
The standard deduction is $3,900 per year (For Year 2013).
She can get total $3900*2=$7800
For each pay period the deduction is: $7800/26=$300

 
3. Taxable income for each paycheck
So for each paycheck, the taxable income is: 640-300=$340.00
 
4. Federal tax 
(340.00-85.00) * 10%=255*10%=$25.5

    Beginning with tax year 2013, the New York State personal income tax rates have changed for most taxpayers. Accordingly, effective for payrolls made on or after January 1, 2013, employers must use the revised withholding tax tables and methods included to compute the amount of New York State taxes to be withheld from employees.

    Effective Jan 1, 2013, California has increased low income exemption to $12,767 for Single, Married with 1 or 0 dependent annually and $25,537 for Married with 2 or more dependents. Annual standard deduction increased to $3,841 for Single and $7,682 for Married with 2 or more dependents. California income tax rates range changed from 1.1% to 14.63% and are levied on California residents’ income and non-residents’ income from California sources.

    How to transfer W2 data manually

    You can use the ezW2 Software backup and restore functions to transfer the W2 and 1099 data easily if you are HR manager or buisness owner

    However, if you are a CPA and have many accounts, it will be easier to transfer the data manually. Here are the steps on how to copy the data from ezW2 2011 folder to ezW2 2012 folder.

    The database file is .mdb file (Microsoft Access Database file)

    Step 1: Open ezW2 2011 folder

    ezW2 2011 default folder

    C:/Program Files/Halfpricesoft/ezW2(2011)

    If you are using Windows 8, 7 or Vista with default settings, the default ezW2 2011 folder can be:

    Payroll 101: What is Fringe Benefits

    A fringe benefit is a form of pay (including property, services, cash or cash equivalent) in addition to stated pay for the performance of services. Some forms of additional compensation are specifically designated as “fringe benefits” in the Internal Revenue Code.

    Fringe benefits commonly include health insurance, group term life coverage, education reimbursement, childcare and assistance reimbursement and cafeteria plans. Fringe benefits for employees are taxable wages unless specifically excluded by a section of the Internal Revenue Code (IRC).

    The IRC may provide that fringe benefits are nontaxable, partially taxable, or tax-deferred.

    Taxable – Includible in gross income unless excluded under an IRC section. “Taxable” means the benefit is included in the employees' wages and reported on Form W-2, Wage and Tax Statement, and generally is subject to Federal income tax withholding, social security (unless the employee has already reached the current year social security wage base limit), and Medicare. If the recipient is an employee, this amount is includible as wages. For example, bonuses are always taxable because no IRC section excludes them from taxation

    Nontaxable (excludable) – Excluded from wages by a specific IRC section; for example, qualified health plan benefits excludable under section 105.

     

    Partially taxable - Part is excluded by IRC section and part is taxable. Benefits may be excludable up to dollar limits, such as the public transportation subsidy under IRC §132.

    Tax-deferred – Benefit is not taxable when received, but subject to tax later. For example, employer contributions to an employee's pension plan may not be taxable when made, but may be taxed when distributed to the employee.

    Small Business Payroll Solution: How to Handle SDI Tax?

    ezPaycheck payroll software is very flexible. With ezPaycheck, user can easily add a new deduction to handle SDI Tax, IRA plan, Garnishment, Donation, Dependent Care, Flexible Account or other local taxes.

     

    Here are the steps on how to add a SDI Tax:

    • Step 1: Add a new deduction

    1. Start ezPaycheck, click the left menu “Company Settings->Deductions” to  open Company Deduction Setup screen.

    2. Check one Customized deduction item, then clicked the button behind it to open  Deduction Details sceen. 

    3. Input the new name "SDI" for the Description field. 

    4. If this is a deduction by percent,  you can check "Deduction in percentage of wage" option box and enter the value. Otherwise, leave it unchecked.

    You also need to enter the uplimit for this deduction.

    For example: The 2012 CA SDI tax rate is 1.0 percent (.010) of SDI taxable wages per employee, per year. This includes the rate for PFL. The maximum tax is $955.85 per employee, per year.

    5. Check other tax options 

    6. Click the "Save" button and closed Deduction details page. 

    7. Click "save" button on Company Deduction Setup form to update the database.

     

    • Step 2: Update employee profile

    1. Select one employee from employee list and edit his deduction option. 

    2. Enter the amount or percent value.  

    3. Click "next" until  the last page, then click the "Finish" button to save the change.

    • Step 3: Generate a new check 

    When you generate the new check, you will see this new SDI Tax on paycheck

    IRS announces income tax changes for 2012

     

    ·         The Temporary Payroll Tax Cut Continuation Act of 2011 temporarily extends the two percentage point payroll tax cut for employees, continuing the reduction of their Social Security tax withholding rate from 6.2 percent to 4.2 percent of wages paid through Feb. 29, 2012. The employer tax rate for social security remains unchanged at 6.2%.

     

    ·         The tax rate for social security is 6.2% each for the employee and employer. (It was 4.2% for employee in Year 2011)

     

    ·         The social security wage base limit is $110,100. (It was $106,800.00 in Year 2011)

     

    ·         Personal and dependent exemptions: $3800 (It was $3,700 in Year 2011)

     

    ·         An increase in tax-bracket thresholds

     

    The IRS asks that employers should implement the new payroll tax rate as soon as possible in 2012 but not later than Jan. 31, 2012.

    What Is New with 2012 Social Security Tax

    Nearly 160 million workers will benefit from the extension of the reduced payroll tax rate that has been in effect for 2011. IRS required that employers should implement the new payroll tax rate as soon as possible in 2012 but not later than Jan. 31, 2012.

     

    Following are the instructions from Notice 1036

     

    The employee tax rate for social security is 4.2% on wages paid and tips received before March 1, 2012. The employee tax rate for social security increases to 6.2% on wages paid and tips received after February 29, 2012. The employer tax rate for social security remains unchanged at 6.2%. The social security wage base limit is $110,100. The Medicare tax rate is 1.45% each for the employee and employer, unchanged from 2011. There is no wage base limit for Medicare tax.

     

    Employers should implement the 4.2% employee social security tax rate as soon as possible, but not later than January 31, 2012. After implementing the 4.2% rate, employers should make an offsetting adjustment in a subsequent pay period to correct any overwithholding of social security tax as soon as possible, but not later than March 31, 2012.

    2012 California State Income Tax Tables Changed

    Paychecks changed for California workers from Jan. 1, 2012

     

    Effective Jan 1, 2012, California has increased low income exemption to $12,527 for Single, Married with 1 or 0 dependent annaully and $25,054 for Married with 2 or more dependents. Annual stantard deduction increased to $3,769 for Single and $7,538 for Married with 2 or more dependents. California income tax rates range changed from 1.1% to 11.33% and are levied on California residents’ income and non-residents’ income from California sources.

    Eight states hiked their minimum wage rates today

    On January 1, the minimum wage will increase in eight states, modestly boosting the incomes of more than 1.4 million low-wage workers in Arizona, Colorado, Florida, Montana, Ohio, Oregon, Vermont and Washington. The state minimum wage rates will rise between 28 and 37 cents per hour—an extra $582 to $770 a year for a full-time worker—as a result of state laws that require the minimum wage to keep up with inflation.

    How to enter YTD payroll data?

    YTD means Year-to-date. It is a period from the beginning of the current year, and continues up to the present day. The YTD information on the check stubs will update automatically each time you add a new paycheck.

     

    This YTD entry feature is for users who start ezPaycheck in mid-year. (If you start ezPaycheck from Jan 1, you do not need to enter YTD manually.)

     

    For example, company ABC handles paychecks for employee Ryan Smith manually from 1/1/2011 to 6/30/2011. They plan to use ezPaycheck from 7/1/2011-7/15/2011 pay period. So instead of entering the old checks one by one, they can enter the YTD summary data here.

     

    You should add the YTD data first before you generate a new paycheck. So you can see the correct YTD data on paycheck stubs. 

     

    Here are the steps.

    If you have not installed ezPaycheck payroll software, you can download it from

    Step 1: Set up company information

     

    Step 2: Add a new employee Ryan Smith

     

    Step 3: Select Ryan from Employee list and open YTD manually input screen.  Then enter the summary information for 1/1/2011 to 6/30/2011.

     

     

    Step 4: When you generate a new check, you will see the YTD data is updated.

    • By January 31, 2012

    Furnish Forms 1099 and W-2. Furnish each employee a completed Form W-2, Wage and Tax Statement. Furnish each other payee a completed Form 1099 (for example, Form 1099-MISC, Miscellaneous Income).

    • By February 28, 2012

    File paper Forms 1099 and 1096. File Copy A of all paper Forms 1099 with Form 1096, Annual Summary and Transmittal of U.S. Information Returns, with the IRS.

    • By February 29, 2012

    File paper Forms W-2 and W-3. File Copy A of all paper Forms W-2 with Form W-3, Transmittal of Wage and Tax Statements, with the Social Security Administration (SSA)

    • If you file electronically, the due date is April 2, 2012.

    San Francisco makes history by becoming the first city in the nation to scale a $10 minimum wage. The city's hourly wage for its lowest-paid workers will hit $10.24, more than $2 above the California minimum wage and nearly $3 more than the working wage set by the federal government.
