  1. Business Structure. An early choice you need to make is to decide on the type of structure for your business. The most common types are sole proprietor, partnership and corporation. The type of business you choose will determine which tax forms you file.
  2. Business Taxes.  There are four general types of business taxes. They are income tax, self-employment tax, employment tax and excise tax. In most cases, the types of tax your business pays depends on the type of business structure you set up. You may need to make estimated tax payments. If you do, you can use IRS Direct Pay to make them. It’s the fast, easy and secure way to pay from your checking or savings account.
  3. Employer Identification Number (EIN).  You may need to get an EIN for federal tax purposes. Search “do you need an EIN” on IRS.gov to find out if you need this number. If you do need one, you can apply for it online.
  4. Accounting Method.  An accounting method is a set of rules that you use to determine when to report income and expenses. You must use a consistent method. The two that are most common are the cash and accrual methods. Under the cash method, you normally report income and deduct expenses in the year that you receive or pay them. Under the accrual method, you generally report income and deduct expenses in the year that you earn or incur them. This is true even if you get the income or pay the expense in a later year.
  5. Employee Health Care.  The Small Business Health Care Tax Credit helps small businesses and tax-exempt organizations pay for health care coverage they offer their employees. You’re eligible for the credit if you have fewer than 25 employees who work full-time, or a combination of full-time and part-time. The maximum credit is 50 percent of premiums paid for small business employers and 35 percent of premiums paid for small tax-exempt employers, such as charities. How to upgrade ezCheckPrinting software

If you purchased ezCheckPrinting before 2014, you should not download version 6.0. Your old key code will  not work for ezCheckPrinting version 6.0 and later.  If you decide to upgrade your version to the latest version, you need to purchase the new key code.

Steps to upgrade ezCheckPrinting software

If you already installed ezCheckPrinting on your machine, you can update it by the following steps:

1. Log in your machine as administrator.

You must have administrator permission to install the MICR font.

2. Backup your data first.

Although your data should be safe during this process, we always suggest you backup it first.

You can click the top menu "Accounts->Back up current account" to back up your data. If you have more than one account, please backup all of them.

3. Uninstall ezCheckprinting from your machine

You can open control panel, then select "Add or remove programs" to see program list. Then remove ezCheckPrinting from there.

4. Download ezCheckPrinting and install it again.

How to hide MICR line on check

ezCheckPrinting software is very flexible. Users can print checks on blank check stock and pre-printed check. Users can customize the check layout easily too.

 

Followings are the guides to hide the MICR line (Accounting number, bank account and check number) when you print a check

 

·         If you just want to hide this line, you can click the top menu "Settings->Layout setup" to open layout set up screen. Then uncheck the option "Display MICR line" at the bottom of this screen and save your change.

    How to Handle Payroll Tasks for Both W2 Employees and 1099 Contractors

    EzPaycheck payroll software is very flexible. It can handle the paychecks for both employees and contractors easily. Since employer does not need to withhold taxes from contractors’ paychecks, we would like to suggest you add the second account to handle the paychecks for 1099 contractors. (EzPaycheck can support multiple accounts with no extra charge) 

    Step 1: Set up the first company account for W-2 employees.

     Step 2: Set up the second company account for 1099 contractors.

    • Click the ezPaycheck top menu “Company->Duplicate current account” to duplicate current account to handle paychecks for 1099 contractor. 
    •  You can switch the current account easily by click the top menu “Company->Select Company”.         
    • When you add a contractor, you need to uncheck all the tax options. Then ezPaycheck will not withhold taxes from the paychecks.

    Note:

    If you don't like to add the second company account to handle 1099 contractors, you can also use the MICS check function to write checks for 1099 contractors quickly.     Small Business Payroll Solution: How to Handle SDI Tax?

    ezPaycheck payroll software is very flexible. With ezPaycheck, user can easily add a new deduction to handle SDI Tax, IRA plan, Garnishment, Donation, Dependent Care, Flexible Account or other local taxes.

     

    Here are the steps on how to add a SDI Tax:

    • Step 1: Add a new deduction

    1. Start ezPaycheck, click the left menu “Company Settings->Deductions” to  open Company Deduction Setup screen.

    2. Check one Customized deduction item, then clicked the button behind it to open  Deduction Details sceen. 

    3. Input the new name "SDI" for the Description field. 

    4. If this is a deduction by percent,  you can check "Deduction in percentage of wage" option box and enter the value. Otherwise, leave it unchecked.

    You also need to enter the uplimit for this deduction.

    For example: The 2012 CA SDI tax rate is 1.0 percent (.010) of SDI taxable wages per employee, per year. This includes the rate for PFL. The maximum tax is $955.85 per employee, per year.

    5. Check other tax options

    What Is New with 2012 Social Security Tax

    Nearly 160 million workers will benefit from the extension of the reduced payroll tax rate that has been in effect for 2011. IRS required that employers should implement the new payroll tax rate as soon as possible in 2012 but not later than Jan. 31, 2012.

     

    Following are the instructions from Notice 1036

     

    The employee tax rate for social security is 4.2% on wages paid and tips received before March 1, 2012. The employee tax rate for social security increases to 6.2% on wages paid and tips received after February 29, 2012. The employer tax rate for social security remains unchanged at 6.2%. The social security wage base limit is $110,100. The Medicare tax rate is 1.45% each for the employee and employer, unchanged from 2011. There is no wage base limit for Medicare tax.

     

    Employers should implement the 4.2% employee social security tax rate as soon as possible, but not later than January 31, 2012. After implementing the 4.2% rate, employers should make an offsetting adjustment in a subsequent pay period to correct any overwithholding of social security tax as soon as possible, but not later than March 31, 2012.

    How to enter YTD payroll data?

    YTD means Year-to-date. It is a period from the beginning of the current year, and continues up to the present day. The YTD information on the check stubs will update automatically each time you add a new paycheck.

     

    This YTD entry feature is for users who start ezPaycheck in mid-year. (If you start ezPaycheck from Jan 1, you do not need to enter YTD manually.)

     

    For example, company ABC handles paychecks for employee Ryan Smith manually from 1/1/2011 to 6/30/2011. They plan to use ezPaycheck from 7/1/2011-7/15/2011 pay period. So instead of entering the old checks one by one, they can enter the YTD summary data here.

     

    You should add the YTD data first before you generate a new paycheck. So you can see the correct YTD data on paycheck stubs.

    $1.1 Billion Loans Approved by SBA to Georgia Small Businesses

    The Georgia district office of the U.S. Small Business Administration announced On Sep 19, 2011 that it has approved more than $1 billion in guaranty lending for the 2011 fiscal year which ends this month, a record annual total - the Atlanta Journal-Constitution reports.

    The amount of loans jumped to $1.1 billion from $647 million last year, and exceeded the previous high in Georgia of $671 million in 2008.

    SBA district director Terri Denison called the increase "an encouraging sign, compared to where we were  in the fall of 2008 when SBA lending and lending activity in general had come to a complete standstill."

    Question: Instead of printing a signature graphic can we print the words "Pre Approved Draft - No Signature Required"?

    Any business can create a check draft. A regular check is created by the account holder, and signed (authorized) by the account holder. A check draft is created by the merchant, and the signature is not required. The account holder must authorize the merchant to create a check draft.
