- ezW2 can print ALL W-2 forms (copy A, B, C, D, 1 and 2) and W-3 forms on plain paper. The black and white substitute forms of W-2 Copy A and W-3 are SSA-approved (Vendor ID: 1335).
- ezW2 can print W2 recipeint copies in 4-up formats. It can also print 2 red forms on the same sheet.

- ezW2 can print 1099 misc forms Copy 1, 2, B and C on white paper. IRS does not certify the substitute forms right now. You need to use the red-ink forms for 1099 MISC copy A and 1096.

IRS Revised 2013 Income Tax Tables. Employers Need to Use New Tax Tables As Soon As Possible

After President Barack Obama signed the tax rate changes into law, IRS released the new updated income-tax withholding tables for 2013 on Jan 3. The revised withholding tables show the new rates in effect for 2013 and supersede the tables published on Dec 31, 2012.

 

For 2013, the employee tax rate for social security increases to 6.2%. The social security wage base limit increases to $113,700. According to IRS, Employers should implement the 2013 revised withholding tables and new Social Security tax rate as soon as possible, but no later than February 15, 2013.

How to Transfer EzPaycheck 2012 Data To 2013 By Using the Restore Function

When ezPaycheck 2012 users run ezPaycheck 2013 update package, it should transfer all the data to ezPaycheck 2013 automatically. However if your machine has higher security settings, ezPaycheck may not be able to transfer the data automatically. 

 

Here is the step by step guide on to move the data with the restore function.

Do not forget step 4 to switch your current database after you store your database file manually.

1. Start ezPaycheck, then click the top menu "Company->Restore company" to open the Database Restore screen.

2. On the Database Restore screen, click Select backup database to be restored button to select your database file.

3. Select your file and click the open button.

The database file is the .mdb file (Microsoft Access Database file).

option 1: If you have backed up your database before, you can select your backup database file 

Option 2: If you have NOT backed up your database before, you can select the original database file from your old database folder

The default folder is:
C:\Program Files\Halfpricesoft\ezPaycheck

or

C:\Program Files (x86)\Halfpricesoft\ezPaycheck

If you are using Windows 8, 7 or Vista with some settings, the default folder can be:
C:\Users\YourName\AppData\Local\VirtualStore\Program Files\Halfpricesoft\ezPaycheck

If you cannot see "AppData" folder there, you can type it to the top address bar directly. Some machines may hide this folder.

4. If you want to use this database file as your current database, you can click the top menu "Company->Select Company" to select this database from list and set it the current database file.

What Is Social Security Tax

The Social Security tax is a payroll tax that was started by the United States Government in the 1930s. This tax is imposed upon working people and their employers.

 

What Is New In Year 2013

For 2013, the employee tax rate for social security increases to 6.2%. The social security wage base limit increases to $113,700. The employer tax rate for social security is still 6.2%.

 

Employers should implement the 6.2% employee social security tax rate as soon as possible, but not later than February 15, 2013. After implementing the new 6.2% rate, employers should make an adjustment in a subsequent pay period to correct any underwithholding of social security tax as soon as possible, but not later than March 31, 2013.

What's New

2013 withholding tables.  This notice includes the 2013 Percentage Method Tables for Income Tax Withholding. Employers should implement the 2013 withholding tables as soon as possible, but not later than February 15, 2013. Use the 2012 withholding tables until you implement the 2013 withholding tables.

Social security tax
For 2013, the employee tax rate for social security increases to
6.2%. The social security wage base limit increases to $113,700.

Medicare Tax

0.9% Additional Medicare Tax from wages you pay to an employee in excess of $200,000 in a calendar year. You are required to begin withholding Additional Medicare Tax in the pay period in which you pay wages in excess of $200,000 to an employee and continue to withhold it each pay period until the end of the calendar year. Additional Medicare Tax is only imposed on the employee. There is no employer share of Additional Medicare Tax. All wages that are subject to Medicare tax are subject to Additional Medicare Tax withholding if paid in excess of the $200,000 withholding threshold.

1. Add logo to check

You can click the left menu "Checks->Check Setup" to open check setup screen. You can specify the logo image here.

 

2. If you need customize the logo, you can click the "Check Layout setup button" to customize check layout.

o customize the logo, you need to select the logo from the item picker first. Then you can resize it or drag/drop the logo to a new position. If you are satisfied with the effect, you can save your change.

How to Add the Second Signature Line to Paychecks

EzPaycheck 2013 is very flexible and allow users to customize the check layout with logo, font, extra text fields and lines.  If you need to two signatures, here are the solution:

Option 1: Create an image with two singatures and specify the image path on check setup screen.

Option 2: If you will sign the check manully, here is the instructions on how to add the second signature line on paychecks.

1. Start ezPaycheck, click the left menu "Checks->Check setup" to open check setup screen. Then click the "Checl Layout Setup" button to open check layout setup screen.

2. Add second signature line

Select "Custom Line 0" from item Picker and set it visible. Then you can drag/drop the line to a new location. Then you can change x-end position value to adjust the length. If you like the change, click the SAVE button.

Since employer does not need to withhold taxes from contractors’ paychecks, we would like to suggest you add the second account to handle the paychecks for 1099 contractors. Step 1: Set up the first company account for W-2 employees.

 Step 2: Set up the second company account for 1099 contractors.

  • Click the ezPaycheck top menu “Company->Duplicate current account” to duplicate current account to handle paychecks for 1099 contractor.

  • When you add a contractor, you need to uncheck all the tax options. Then ezPaycheck will not withhold taxes from the paychecks.

How to run a program as the administrator

Problem: I installed ezW2 and see the shortcut icon from my desktop. However I cannot start this application.

 

Solution: Usually this issue is caused by permission problem. Please make sure you have enough permission on your local machine to install a new program and run a program.

 

 

You can log in as administrator to install this program and run it. If you can run it as administrator but cannot run it as normal user. You need give normal user running and write/read permission to this application and the applicaiton folder.

 

 

If you are the administrator of your machine and still see this problem, you can try the following steps.

 

 

For Windows 7 and 8 machines

1.       Select the shortcut icon from your desktop.

For example, if you are running ezW2 2011 now, you can select ezW2 2011 shortcut

 

2.       Press the right button of the mouse, then you will see the pop up menu. Then click the sub menu Properties  to open the Properties screen

3.       Click the tab “Compatibility”, then check the option “Run this program as an administrator”.

4.       Click the Apply button.

5.       Click the OK button to close this screen

6.       Then double click the shortcut icon to start your application again.

Small Business Payroll Solution: How to Handle SDI Tax?

ezPaycheck payroll software is very flexible. With ezPaycheck, user can easily add a new deduction to handle SDI Tax, IRA plan, Garnishment, Donation, Dependent Care, Flexible Account or other local taxes.

 

Here are the steps on how to add a SDI Tax:

  • Step 1: Add a new deduction

1. Start ezPaycheck, click the left menu “Company Settings->Deductions” to  open Company Deduction Setup screen.

2. Check one Customized deduction item, then clicked the button behind it to open  Deduction Details sceen. 

3. Input the new name "SDI" for the Description field. 

4. If this is a deduction by percent,  you can check "Deduction in percentage of wage" option box and enter the value. Otherwise, leave it unchecked.

You also need to enter the uplimit for this deduction.

For example: The 2012 CA SDI tax rate is 1.0 percent (.010) of SDI taxable wages per employee, per year. This includes the rate for PFL. The maximum tax is $955.85 per employee, per year.

5. Check other tax options 

6. Click the "Save" button and closed Deduction details page. 

7. Click "save" button on Company Deduction Setup form to update the database.

 

  • Step 2: Update employee profile

1. Select one employee from employee list and edit his deduction option. 

2. Enter the amount or percent value.  

3. Click "next" until  the last page, then click the "Finish" button to save the change.

  • Step 3: Generate a new check 

When you generate the new check, you will see this new SDI Tax on paycheck

State of Indiana published the changes of county tax for resident and non-resident on Dec 1, 2011.  The employee deduction is $1,000 and each qualified dependent deduction is $1,500 which are unchanged. Carroll County resident tax rate changes to 0.015039; Hendricks County non-resident tax rate changes to 0.005; Jasper County resident tax rate changes to 0.03114; Martin County resident tax rate changes to 0.015; Tipton County non-resident tax rate changes to 0.0158. How to Calculate 2012 Federal Income Tax Manually?

If you are a small business owners and like to calculate the taxes manually. Please follow this step by step guide on how to use federal tax table and do it manually.

 

For example:

 

Karen is the employee of company ABC. She lives in Arizona. Her withholding rate is married/withhold at a single rate.  She has two exemptions and no extra withholds.  She gets paid $10 per hour biweekly.  She works 64 hours for each pay period.


Followings are the steps to calculate the federal tax:
 

1. Gross pay for each paycheck:
 
For each pay period, the gross pay is $640
 
2. Deduction for each paycheck:
The standard deduction is $3,800 per year (For Year 2012).
She can get total $3800*2=$7600
For each pay period the deduction is: $7600/26=$292.31

 
3. Taxable income for each paycheck
So for each paycheck, the taxable income is: 640-292.31=$347.69

How to enter YTD payroll data?

YTD means Year-to-date. It is a period from the beginning of the current year, and continues up to the present day. The YTD information on the check stubs will update automatically each time you add a new paycheck.

 

This YTD entry feature is for users who start ezPaycheck in mid-year. (If you start ezPaycheck from Jan 1, you do not need to enter YTD manually.)

 

For example, company ABC handles paychecks for employee Ryan Smith manually from 1/1/2011 to 6/30/2011. They plan to use ezPaycheck from 7/1/2011-7/15/2011 pay period. So instead of entering the old checks one by one, they can enter the YTD summary data here.

 

You should add the YTD data first before you generate a new paycheck. So you can see the correct YTD data on paycheck stubs.

How to change Windows machine screen resolution?

Question: I am using Windows 7 Home Premium. The windows of ezPaycheck will not fill the monitor's screen and on some of them the words are partially cut off.

Answer: The possible reason is the screen resolution is too low. Usually increasing the screen resolution can fix such problem. Following is the guide to change the resolution settings.

You can check your screen resolution by right clicking an empty space on your screen, then select "properties" from pop up menu. I attached the image of screen resolution with this message. You can change it by move the slide bar.

4. If this is a deduction by percent,  you can check "Deduction in percentage of wage" option box. Otherwise, leave it unchecked

 

5. Check other tax options 

 

6. Click the "Save" button and closed Deduction details page. 

 

7. Click "save" button on Company Deduction Setup form to update the database.

1. Select one employee from employee list and edited his deduction option.

2. Enter the amount or percent value.  

3. Click "next" until  the last page, then click the "Finish" button to save the change.
