How to Edit an Employee's Social Security Number (SSN) in ezPaycheck

If you entered an employee with the wrong Social Security Number (SSN) in ezPaycheck, you might be wondering how to fix it. Unfortunately, ezPaycheck does not allow customers to edit the SSN after an employee is added.

This limitation exists because all data inside the database is linked by SSN, and changing the SSN could cause tax calculation errors that affect your payroll records and filings. However, there is a safe workaround to correct the SSN if you absolutely need to.

Why ezPaycheck Doesn't Allow SSN Edits

ezPaycheck uses the Social Security Number as a unique identifier for every employee in the database. All paycheck records, tax forms (W-2, 940, 941, etc.), and payroll data are tied to the SSN. Allowing direct edits to this field could:

  • Break links between employee records and their paycheck history
  • Cause incorrect tax calculations for the current and prior tax years
  • Lead to mismatches when filing tax forms with the IRS and state agencies

For these reasons, ezPaycheck does not provide an "edit SSN" function to protect data integrity.

The Safe Workaround: Step-by-Step Instructions

If you need to correct an employee's SSN, follow these four steps:

1. Back Up the Data First

Before making any changes to your employee database, create a backup of your ezPaycheck data. This ensures you can restore your records if anything goes wrong.

2. Delete the Employee with the Wrong SSN

Navigate to the Employee List in ezPaycheck and delete the employee who was entered with the incorrect SSN.

Important: When you delete this employee, all checks associated with this SSN will also be deleted. This is why backing up your data in Step 1 is critical—you'll need it if you have any records you want to preserve.

3. Add the Employee Again with the Correct SSN

After deleting the employee, add a new employee record with all the correct information, including the correct SSN. Re-enter any necessary details such as:

  • Employee name
  • Address
  • Tax filing status
  • Payment rate (hourly, salary, etc.)
  • Deduction and withholding information

4. Add the Paychecks

Once the employee is set up with the correct SSN, recreate any paychecks that were deleted in Step 2. Enter each paycheck with the appropriate date, hours, and pay rate.

Tips for Avoiding SSN Entry Errors

To prevent SSN mistakes in the future:

  • Double-check the SSN before saving the employee record. Ask the employee to provide their SSN directly from their official documents (Social Security card, W-2, etc.)
  • Use copy-paste when possible (if the employee provides the SSN via email or secure document) to avoid typos
  • Verify the format — the SSN should be entered as XXX-XX-XXXX with dashes, or just the 9 digits depending on your ezPaycheck version
