Is ezW2 right for me?

Will SSA accept black and white substitute forms on blank paper?

Yes, SSA will accept W2 and W3 substitute forms that meets the specifications and approved by SSA. You can find our SSA-approval document here.

With ezW2, do I still need to buy the red ink W2 and W3 forms?

No pre-printed forms are needed for W2 and W3. ezW2 is approved by SSA to W2 and W3 on plain white paper with laser and ink-jet printers. If you prefer the traditional red-ink forms, ezW2 also prints data only on preprinted W2 and W3 forms. You can purchase the red forms from our site or your local office stores.

What kind of paper and printer can I use to print W2 Copy A and W3?

The W2 copy A and W3 can be printed on good quality plain white paper. You can use the ink-jet printer and laser printer.

If I have purchased ezPaycheck, do I still need to buy ezW2?

If you want to print W2 and W3 on plain white paper or print 1099 NEC and 1096 forms, you will need ezW2. ezPaycheck requires preprinted red ink forms for W2 and W3 and ezPaycheck doesn't support 1099-NEC and 1096 forms. 3. I have ezW2 installed on my computer. Will installing ezW2 2025 cause me to lose any data?

No. ezW2 and ezW2 2025 can co-exist on your computer.

4. Can ezW2 run on MAC?

5. How to uninstall ezW2 software?

Open Programs and Features by clicking the Start button, click on Control Panel, click on Programs, and then click on Programs and Features. Select ezW2 from program list, and then click Uninstall.

1. How to purchase ezW2?

2. How long it takes to get the license key?

3. I purchased ezW2 last year. Do I need to purchase ezW2 2025 to print 1099 & W-2 forms?

Yes. SSA and IRS change tax forms each year. We also need to get our forms approved each year. You need to purchase ezW2 2025 to print the new tax forms.

4. Can I transfer my last year's data to the new version?

Can ezW2 print W-2 and W-3 forms on white paper?

Yes, with ezW2, you can follow this guide to print all w-2 forms on plain white paper. The black and white laser substiture forms of W-2 copy And W-3 are SSA-approved.

W3 Forms

1099-nec Forms

The IRS has removed Copy C (the payer's record) from most 1099 forms, including Form 1099MISC, 1099NEC, 1099B, 1099DIV, 1099G, 1099INT, 1099K, 1099R, 1098E, 1098T, 5498, 5498ESA, 5498SA, 5498QA, starting with the 2024 tax year.

ezW2 2020 and later versions support 1099-NEC forms

Can ezW2 print 1099-NEC and 1096 forms on white paper?

IRS does not certify 1099 Copy A and 1096 right now, So you will need pre-printed red forms to print 1099-NEC Federal Copy A and 1096 Transmittal. ezW2 can print 1099 NEC copy B, C, 1 and 2 on white paper.

To print 1099-misc forms, please use ez1099 software.

(Note: ezW2 2019 and previous versions support 1099-MISC forms. You need to use the new Form 1099-NEC to report nonemployee compensation for the current tax season..)

Can I file W2C W3C correction forms with ezW2 software?

No, ezW2 software cannot print or efile W2C and W3C. If you need to file W-2 and W-3 corection forms, you should use ezW2Correction software. ezW2Correction can retrieve W2 data from ezW2 software.

Can I import W2 data from external source?

Yes, ezW2 can import employee list and most W2 data from the external .csv file. You can click the top menu "Current Company" then click "Import W2" sub menu to access this feature.

If your data is saved in Excel file, you can convert it easily by clicking Excel top menu "File", then click "Save As" to save it as .csv (comma delimited) file.

Can I import 1099 data from external source?

Yes, ezW2 can import contractor list and most 1099 data from the external .csv file. You can click the top menu "Current Company" then click "Import 1099" sub menu to access this feature.

How to efile W2 & W3 forms to SSA?

In 2026 tax season, you have two options for e-filing W2/W3 forms with the SSA:

1). Self-Filing - Requires your own User ID.
2). In-App E-Filing Service - No User ID required; we file on your behalf.

Must I get a User ID before submitting W2 forms to SSA?

No, if you use the built-in e-filing service in ezW2 2025. Otherwise, you need to apply for a User ID from SSA.

What is the EIN I need to use for efile?

It is the submitter's EIN, the EIN of the company you work for.
If you are a third-party submitter, you need the EIN of your own company, not the EIN of the company(s) for which the wage report(s) is/are being submitted.

When I efile my W2 W3 forms, do I need to send a W-3 separately?

No. The efile document created by ezW2 software includes both W2 forms and W3 form.
